Accounting and Financial Management

There is no doubt that Sage 50 Accounts offer compliant and robust financial management for smaller businesses who are single-sited and UK based. Business central offers everything Sage 50 Accounts offers but has much greater multi-currency flexibility, better forecasting tools, intercompany reporting capabilities and with its native relationship with Business Intelligence provides the capability to report on data exactly as finance managers need to see it

Scalability and Flexibility

Sage 50 Accounts biggest drawbacks is that you can have a maximum user number availability of 20 concurrent? users. If you require more staff to have access to the system at the same time, this is not possible and a business will be reliant on users “taking it in turns” to make use of the concurrent user allowance.

Business central has no upper limit regarding users numbers. By design it is intended to be fully scalable as businesses grow, accommodating multiple sites, international locations, multiple currencies ( for a single account) and company hub to analyse cross company data

Reporting and Business Intelligence

Great reports easily produced in which you have total confidence are key to all department heads across a business and particularly finance managers and business owners. Great reports with the right data enable better decisions.

Using Business intelligence and Power Platform will transform your data into actionable insights that are insights that are instantly usable by all levels of staff.

Whether it is improving cash flow, reducing operations costs, enhancing customer retention, or accelerating staff onboarding, this solution empowers your business to operate more efficiently. All of this is done without the need for costly, time-consuming bespoke software developments, making it an affordable and scalable solution for companies of all sizes.

Sage 50 will produce simple and useful reports, but these may not be enough. Sage 50 data can be used in Business Intelligence reporting, but the process is not straightforward and requires internal technical skills. Business Central on the other hand – as a Microsoft product (and let’s face it, Microsoft are not stupid) interact seamlessly with Business Intelligence and Power Platform providing the reports and automations reliably, in real time and at low cost.

Love it or hate it – AI is here to stay and once embraced can save time, reduce errors and when deployed correctly will leave you in control to enable human intervention as and when required.

CRM capabilities: Sage CRM vs Microsoft Dynamics CRM

There is a wealth of CRM applications available that will integrate with Sage 50 Accounts. Market leaders such as SalesForce and HubSpot have connectors for Sage 50.  However, a drawback of this approach is the case with any interfacing software – is compatibility.  Businesses must be very mindful that if they upgrade an interfacing application, they need to check their Sage 50 version and vice versa.

Notoriously, synchronisation of data between Sage 50 and CRM packages has resulted in frustration and errors as data is not real time. Experience synchronisation frustrations.

For those businesses who have more demanding CRM requirements, such as Customer Journeys and Insights, Microsoft Sales CRM is a great solution. As part of the Microsoft ecosystem, synchronisation is much faster, without corruption and version compatibility issues.

Evaluating Business Needs and ROI: Transitioning from Sage 50 to Microsoft Dynamics 365

Identifying Limitations of Sage 50

  • Are you having trouble scaling user numbers?
  • Do you have a growing number of daily transactions?
  • Do you operate or plan to operate from more than one site?
  • Are you relying on disparate systems to access key information?
  • Are decisions being made on inaccurate or ‘best guess’ data?
  • Are you spending hours of your life you will not get back collating reports for finance and leadership teams on Excel?
  • Do you have staff working remotely who cannot reliably access your central system and process real time?

If you answered yes to multiple questions, it may be time to migrate

Migration and Upgrade Process

Migration and Upgrade Process

Businesses are understandably skeptical about moving from one system to another.  Any business application migration should and can be pain free and seamless, with minimum down time.  If a solutions vendor or business partner suggests down time of more than a business day – you need to ask them ‘Why’?

Through our years of experience in migrating manufacturing businesses to Dynamics 365, we’ve created a tried and tested process to ensure no loss of data and minimal business downtime:

Discovery

You’ll share your deep understanding of how a current application is being used, with what the challenges are and any future vision for growth or diversification you may have.

Detailed demonstration

We’ll demonstrate the solution that offers the best fit for your individual business needs, reflecting requirements and pain point resolutions in addition to a wider demonstration of Business Central.

Firm quotation

You’ll receive a fixed proposal following discovery and demonstration with costs only changing if the scope of the project changes.  This could be an undisclosed requirement or additional data source that needs migrating into Business Central.  Find a business partner that guarantees this.  Your quotation should also be accompanied by a suggest timeline to set goals and expectations

Planning Meeting and Project Manager appointment

Discuss and agree data migration, key milestone dates and next actions.

Test Data migration and validation

Best practice suggests that training is always most effective if delivered against a copy of your own data. An initial test data migration should be completed not just to validate but to be used for training. Your data migration should carry along with a full history of your data not just opening balances.

Departmental Specific, Refined discovery

A solution overview day will be delivered to all departmental heads. Not only does this ensure that your business partner digs into the day-to-day detail of each department and its requirements but in so doing, your department heads become increasingly invested in the project and confident that the outcomes will bring benefits not just to the business but to their department specifically.

Training

Training sessions where staff are actively encouraged them not to just attend, but ask questions to ensure confidence in the new system.

Workshops

The learning through doing approach is a vital and effective training element. Attending workshops and ‘doing your homework’ afterwards by using the test system is vital to user onboarding and ultimately project success.

Minimising business disruption

Final Data Migration – getting ready to push the button

In the ideal world the final data migration should happen on a Friday with your business partner completing the process over the weekend.

GoLive

Ideally going live on a Monday ensures that staff move seamlessly from one solution to another, with no ‘running systems side by side’. Your up-to-date business data is available, your staff have had their training and are capable users and you have your business partner on hand for GoLive support.

Future-proofing Business Operations

Qi often describes Business Central as ‘your forever love’ due to its scalability, flexibility and massive commitment from Microsoft.  It has also been voted ‘best ERP’ by Forrester 3 years in a row.

With direct experience of a 90+ and growing user instance, and conversely a 2-user instance at the other end of the spectrum, Business Central truly scales.

Area Dynamics 365 capability
Platform longevity Cloud ERP designed for continuous evolution
Integration ecosystem Power Platform, Power BI, CRM
Security and compliance Regular updates, upgrades and modern standards provisioned automatically to your ERP instance.
Adaptability Supports regulatory (HMRC for example) and operational changes as a business grows and/or evolves
Growth readiness Multi-site and international scalability
Localisations Business Central is available in 120.+ countries and offers full tax and regulation compliance dependent on geographical location.

Which is Right for Your Business: Sage 50 or Microsoft Dynamics 365?

Sage 50 Accounts remains a very well respected and widely used accounting solution although the likes of Xero and QuickBooks are snapping at their heels for market share and have the benefit of being truly Cloud based. Whilst Sage 50 was ‘the staple’ of independent bookkeepers and Accountants this is changing.

Sage 50 Accounts, Xero or QuickBooks for example are more than fit for purpose if your business only requires financials but if there is a requirement for anything else interfacing software for manufacturing or CRM start elevating your annual costs with particularly elevating the robustness or scalability of your wider infrastructure strategy and it is this strategy that assists in underpinning business success.

It is also true to say that the cost differential between Sage 50 and Business Central is reducing year on year. As an example, a 3 user Business Central Essentials implementation costs less a year in licensing and support than a 2 – 5 user instance of Sage 50 Accounts.

Qi has been a Sage business partner for 30 years, a Sage Manufacturing and Cim50 partner for 26 years and a Microsoft ERP Partner for 24 years (with specialist accreditations and awards for our good efforts).  Each business application mentioned has its place and its ‘fit’ and as an independently owned IT business it is our job to advise you and support you through your business applications review process.

Qi specialises in pain free successful system transitions. We have moved over 50 customers from Sage to Business Central and many others from alternative applications to Business Central.  Data migration is our point of difference. Our QiMigrateNow! process and toolkit ensure accurate and complete data migration. We work for the long term with our customers and to achieve this we must provide great service and work with the upmost integrity.

Does Business Central win the day?

Qi believes that on functionality, flexibility, saleability in addition to dramatically reducing the need for disparate applications, Business Central wins the day. The biggest differential has historically been annual licensing costs but with the recent further price increase from Sage UK hitting renewals from April, the obstacle of cost has also diminished.
